What we collect, and what we do with it.

The short version

We collect what we need to answer your enquiry, quote it accurately and arrange the inspection. We do not sell it, we do not trade it, and we do not use it to market unrelated things at you. This website sets no advertising or cross-site tracking cookies.

What we collect

Almost everything we hold about you is something you typed into the report request form:

• Your name, phone number and email address.
• The property address, suburb or postcode.
• The report category and the report or inspection type.
• Your preferred date or urgency, and the property type, if you give them.
• Anything you write in the additional information box.
• Any files you choose to attach — up to three, 8 MB each, as PDF, image or Word documents.
• Your tick of the consent box, so we have a record that you asked us to reply.

The form also submits three things you did not type. The address of the page you sent the enquiry from, so we know which report you were reading. A timestamp and an empty decoy field, both of which exist only to catch automated spam. Neither identifies you.

If you telephone us instead, we keep what you tell us on the call for the same reasons.

Why we collect it

To reply to you, to work out which report actually fits, to give you a written price and scope, and to book and carry out the inspection. Arranging access sometimes means contacting whoever controls the property — an agent, a vendor, a tenant or a builder — and telling them who the inspection is for and when it is happening.

Once a report is issued we keep the file because a building report is a professional document that may need to be explained, reissued or relied on later.

Who else sees it

• Our email provider. Every enquiry is sent to us as an email.
• HubSpot. Enquiries are recorded in HubSpot, the customer relationship system we use to make sure nothing is missed. HubSpot is a United States company and stores information on servers outside Australia.
• Our web host. The site runs on Hostinger, which keeps ordinary server logs.
• Specialists, where a report requires one. Some work — asbestos analysis, pool barrier certification, fire safety — is completed in coordination with an appropriately licensed or accredited specialist, who needs the property details to do it.

We do not sell your details, rent them, or hand them to anyone else for their own marketing.

Files you attach

Attachments are stored on the server in a location that is not part of the public website and is not linked from anywhere. They are not published, and they are not indexed by search engines.

Cookies and tracking

This is worth being exact about, because most privacy pages are not.

This website loads no third-party scripts and sets no cookies of its own. There is no advertising pixel, no social media widget and no cross-site tracker on any page.

There is one thing worth naming. If your browser already carries a HubSpot visitor cookie — which it would only have if you had previously visited some other website running HubSpot's tracking code — the request form reads that identifier and sends it with your enquiry, so your enquiry can be matched to the right record in our system. This site does not create that cookie and cannot read anything else from it. If your browser does not have one, nothing is sent.

We also use Google Analytics to count visits and see which pages are read, which sets its own cookies in your browser. It tells us how the site is being used; it does not tell us who you are. You can opt out with Google's browser add-on, or by blocking cookies for this site.

How long we keep it

No fixed period is published here, because stating one we did not actually follow would be worse than saying nothing. In practice: enquiries that do not become a job are kept only while they might still turn into one, and records connected to an inspection are kept for as long as our insurance, tax and professional obligations require — which for building work is a number of years. If you want your details removed sooner, ask, and we will remove whatever we are not required to keep.

Seeing it, correcting it, or having it deleted

Ask us. Call 1300 140 579, or use the email address shown in the footer of any page. We will confirm who you are before we send anything, tell you what we hold, correct anything wrong, and delete what we are not obliged to keep.

If something has gone wrong, tell us first — it is usually fixable in a phone call. If you are not satisfied with how we handle it, the Office of the Australian Information Commissioner publishes guidance on privacy rights and the options open to you at oaic.gov.au.

Changes

If what we collect or where it goes changes, this page changes with it, and the date at the top changes too. There is no mailing list for privacy updates and we will not email you about them.
